INFO: Creating a Rule

Create a Rule:

  1. Open Microsoft Outlook.
  2. Click on the Organize button from the taskbar located at the top of the screen. This will open a Ways to Organize Inbox.
  3. Click on the Rules Wizard located in the right corner of this new window. This will execute a “wizard” to help guide you through the rule creation.
  4. Click on New to create a new rule.
  5. A window box will appear that will ask you Which type of rule do you want to create?  In this example we will be setting up a rule to Delete an email that has “Happy Day” in the Subject line.
  6. Make sure Check messages when they arrive is highlighted and click Next.
  7. A window box will appear that will ask you Which condition(s) do you want to check? Scroll down and click the option that says with specific words in the subject.
  8. Click on the underlined specific word that is located in the box that says Rule description <click on an underlined value to edit it):
  9. Another window box will appear. Type Happy Day and click Add or press the Enter key. You can repeat this step until you have added all words you want the rule to look for. I tend to recommend individual rules instead of grouping them in one but it is up to you.
  10. Click OK.
  11. Notice that Happy Day is automatically inserted in the area under Rule description <click on an underlined value to edit it):
  12. Click Next.
  13. Now the computer is asking us what do we want to do with the message after it has located an email message that has Happy Day in the subject line. Click on delete it. This will move it to the Deleted Folder where I can delete it later. If you choose permanently delete it, you will not see the email message at all and WILL NOT BE ABLE TO RECOVER IT. So use this option cautiously!
  14. Click Next.
  15. The next window is asking whether you want any “exceptions” to the rule. For example, maybe I want to click on except if sent only to me hoping that if it was bulk email it would be deleted but if it was sent to me by a friend, I would still be able to see it. In this example, we will not be clicking anything.
  16. Click Next.
  17. In this window, type a name for your rule or you can leave the default name.
  18. Click on Run this rule now on messages already in “Inbox” if you want to run it now.
  19. Make sure the Turn on this rule is selected.
  20. Click Finish.
Click OK to exit the Rules Wizard.
